What EDI really is The purpose of EDI is to eliminate multiple input of data and to accelerate and to increase the accuracy of the circulation of information thanks to the combination of appropriate computer applications in companies which take part in the interchange. The use of EDI allows to improve temporal accessibility of logistic information, to extend and to precisely specify data and also to reduce labour consumption of the process. In order to fully take advantage of the merits of EDI, the participants in the logistic channel should communicate by means of a computer. In other words, the efficient implementation of Edi requires direct communication between the computer systems of both purchasers and the sellers of the product.
How AltEDI works AltEDI combines the systems of our suppliers and users with our SAP Business ONE system. The best illustrative example will be to show how work looks like without AltEdi
The registration of a sales order Without AltEDI Our user, a large commercial network orders our products from us and sends by fax or e-mail the order with the specification of items. Then it informs our commercial department about this fact. The commercial department begins to register the logistic path by manual addition of the document of the sales order in SAP Business One.
We have AltEDI !!! The user generates an electronic purchase order from its system and sends it to the server. AltEDI connects to the server, notices a new order and registers the sales order. The commercial department at this time performs negotiations with a new client – they are reassured – the alert system of SAP Business One will inform them and the warehouse about a new sales order.
The products are transported to the client Without AltEDI The warehouse keepers have been informed about a new order waiting to be carried out. They complete the goods, load the vehicle, register the goods dispatched note (WZ). They signal to the commercial department that the goods are on the way. Our user requires that we should confirm the shipping of goods. The commercial department sends a copy of the goods dispatched note (WZ) printout by fax.
We have AltEDI !!! The warehouse keepers proceed as above. The difference consists in the commercial department not having to even be informed about the shipment of the goods to the client. AltEdi automatically sends the advice note (WZ) of the shipment to the server so that our client could collect them.
We offer invoicing !!! Without AltEDI The client notifies us about the arrival of the goods. Sometimes he fails to do that. The commercial department has to pay constant attention to such situations. However, this time he called on his own initiative. He confirms by phone whether the delivered amounts are consistent with WZ so we can make out the invoice. The commercial department makes out the invoice on the basis of WZ in SAP Business One. The invoice is sent by post to the client.
We have AltEDI !!! The user in his system registers the goods received note (PZ) from the received goods and sends it to the EDI server as the advice note of the reception. AltEDI automatically receives the advice note of reception from the server and sends to selected employees of the Commercial Department. The department makes out an invoice on the basis of WZ in SAP Business One and… does not have to do anything else. The invoice automatically is sent to the server. The client receives it in an electronic form.
How does it work? AltEDI can operate in a manual or automatic sending and receiving mode. We can decide that in case of some type of documents (e.g. invoices) we would like to decide on our own when to send them. However, sales orders should be loaded automatically.
